JCU Library Experience Procedures

Australia Post Parcel Send (StarTrack Despatch)

  • Purpose: 
    • To pack, despatch and track boxes of items sent on request to the Cairns campus, as well as from suppliers. Cairns is using Reverse Logistics and have entered a separate procedure.

Set up for AustPost Parcel Send

 Box set up  AustPost Parcel Send label Printer Set up - Admin ONLY
  • Pack the box with books in the despatch room and seal it
  • Measure the length, width and height of the box in cm
  • Weigh the box in kilograms.
  • Note these measurements and bring them to the computer 
  • Log in
  • Click on Settings
  • Click on Labels
  • Label preference should be A4 1 Label

Con Note Deletion: email - Connote.deletion@startrack.com.au

Delete shipments before despatching & manifesting; Deleting a Shipment 

Process for Townsville

  • Click on +New 
  • Choose shipment

  • Type in Cairns in the recipient and the details will automatically fill

  • Scroll down till you see Parcel details

  • Fill in the weight and dimensions
    • Note: This is in cm not mm
  • Type in books in the parcel contents
  • tick No for dangerous goods
  • Do not select Create matching return slip
  • Click "Add another parcel" if you have more than one parcel, fill out the measurements of the second box as per the instructions above.

  • Choose Express as your shipping method
  • Check the details are correct down the side and Click Save Shipment

Process for Cairns

Printing Labels

  • Click on Print labels

  • Print the box label which should look something like this

Creating and Printing Despatch

  • Click on Ready to Despatch
  • Select the box to be sent and then click on Despatch (red box)

  • Fill in your name in the Despatcher name and click Manifest & print

  • Which will then generate the order summary report

  • Print this and fill out the information where needed and sign it. 
  • Place on top of the box/s to be sent.

Enter all details into the Star Track Tracking Spreadsheet:

  • Startrack Tracking spreadsheet: R:\LIS_IRS\Library Operations\STARTRACK\tracking.xlsx

Reprinting labels

  • Click on Past shipments

  • Find the shipment you want to reprint the labels for and click on the Connote section (7WKZ5.......) 

  • Click on Download Label and reprint

 

Reprint the Manifest (summary report)

  • Follow the steps for Reprint labels until you reach this page

  • Click on Manifest ID
  • Then click on Reprint Manifest to reprint the Summary Report.

To get the estimated quote

  • Click on Freight quote on the bottom left hand side

  • Fill in the dimensions of the box and the Postcode of where it is being sent (Cairns - Smithfield Drive, 4878 | Townsville - James Cook University, 4811)

  • Click calculate which will give you and estimated price

Navigating to Parcel Send page

  • Click on Log in
  • Choose Parcel Send from the list of options

Star Track Express Invoice/Statement

  • Purpose: 
    • To verify the invoiced sent by Startrack and send the Connotes to Education Division Admin.

If the con note is in the folder

  •  StarTrack emails invoice to Accounts Payable. AP emails it to ED Admin (edadmin@jcu.edu.au) who emails it to Library Experience (Generally Kait and Bec)

  • Library Experience download and open the invoice attached in the email and check reference numbers and freight charges for Townsville only against those noted on spreadsheet.

Townsville

  • Open tracking spreadsheet CORP/LIS_IRS/LibraryOperations/STARTRACK
  • Open Con Notes folder R:\LIS_IRS\Library Operations\STARTRACK\Con Notes
  • Highlight all the dates listed on the invoice, (including the invoice) right click, and select “Combine files in Acrobat…

  • Make sure that the files are in date order with the invoice as the first page

  • Click Combine (you can also include the invoice if you choose) 
  • Add freight charges from invoice to spreadsheet under invoice charge (for our record)

  • Highlight in blue the date listed on the spreadsheet that corresponds to the entry on
    the invoice
  • Send the invoice to ED Admin (edadmin@jcu.edu.au) through the ticket.

If the con note is not in the folder

  • Log in to My Startrack Online
  • Despatch → Reprint despatch summary
  • Enter dates listed on invoice e.g. 24/01/20 to 29/01/20 → Search
  • StarTrack returns individual summary reports – click on the blue arrow to download as PDF. 

  • Save As using the following format: that days date. E.g. 18-May-2021
  • Save in R:\LIS_IRS\Library Operations\STARTRACK\Con Notes
  • Highlight all the dates listed on the invoice, right click, and select “Combine files in Acrobat…

  • Make sure that the files are in date order

  • Click Combine
  • Add freight charges from invoice to spreadsheet under invoice charge (for our record)

  • Save the combined file as Connotes invoice [invoice number].pdf e.g. Connotes invoice 21047.pdf
  • Highlight in blue the date listed on the spreadsheet that corresponds to the entry on
  • the Connotes invoice [invoice number].pdf
  • Send the Connotes invoice [invoice number].pdf to ED Admin (edadmin@jcu.edu.au) through the ticket.
