JCU Library Experience Procedures

Opening and Closing

Entering:

Enter via the loading dock

Check that cleaning staff have turned on the lights. If they are off, turn them on. The switches are located on the outside wall of the loading dock, near the staff entrance to the library.

Swipe your ID card to enter the library via the staff entrance

Opening:

Unlock the sliding door to the main Library Experience (LE) and Library Help (LH) desks

Using the key safe key, unlock the key safe in the LE work area

Take the Lost Property key tag, use the small keys to unlock the LH filing cabinet and LE locked draw, get out mice and keyboards, turn them on

Using the same Lost Property key tag, unlock the binding cupboard, place the chain and lock in the basket inside the cupboard.

Take the green (2) and green (4) keys (labelled ‘After hours returns and iLearning Rooms’ and ‘Information Commons’) from the key cabinet

The café, southern, and northern entrances are set to open on time automatically – DO NOT USE KEYS ON THESE MAIN DOORS. The lock should always be set on EXIT. Check these doors are working at opening time by walking towards them; they should open automatically.

Contact Security on extension 16000 if the doors are not opening and closing correctly

On public holidays (as opening hours are different from the norm), call security (ext 16000) immediately if there are people in the building before opening. Note this in your feedback loop and contact LE Team Leader.

Use key 4 to unlock the Information Commons and slide open the door

Use key 2 to open the iLearning Rooms 2a and 2b

Use key 2 to close the door in between 2a and 2b

Swipe access is required to enter the InfoCommons from outside the building after hours Monday-Friday during semester

Use key 2 to unlock the two after hours chutes

  • 1 x after-hours chute is located in the Information Commons

  • 1 x after-hours chute is located in the LE and EE open work office space, 018-021

Return all keys to the key cabinet

Turn on all of the computers in the front service point area:

LE PC

LH PC

2 x Display PCs, open display Slideshow found on desktop

Take the TV remote from the filing cabinet at the InfoHelp service point and switch on the 4 x TVs on the ground floor as you open the library and 1 x on level 1; return the TV remote to the drawer

When going from the Mabo Wall TV to the Northern Entrance TV, turn on to the OPAC PCs (if not logged in, restart PC)

Open the safe using the safe code (also in the above folder, in the document Passwords and access 2023) and the safe key (5) from the key cabinet

Take out the 3 x A-frames (one at each main entrance) only on days when the library is running workshops. The A-frames are located beside the printer in the Client Services work area. The workshop schedule and posters are kept on the workbench near the printer

Check LE and InfoHelp phones for phone messages (voicemail pin is 12121#). Action the messages or refer to the appropriate staff member. Delete the message once actioned.

Proceed to complete circulation tasks:

Check in items in after hours returns chutes

Check in returns as they come in

Holds Shelf Maintenance

Southern Wall Reset Checklist (push in chairs and make sure the emergency exits aren’t blocked- sign sheet in binding cupboard)

Monday, Wednesday and Friday: Furniture Rest

Tuesday and Thursday: Cairns Box

Monitor tickets and frequently refresh LibAnswers

Check in with Rachael about other tasks to be completed

Make sure to check off everything in the Library Experience Daily Checklist

  • There will always be two staff members – either LEA and a Librarian, or Librarian and Security

  • Security start times are agreed to by Security at the start of SP1

  • The after-hours swipe access to the Information Commons is maintained by Security


To Be Down Before Starting the Close:

 

Furniture Reset

Bring in A-Frames, if the building is opening before services, place them in the back work room in the space next to the PA system (if required)

Use Key 2 to check after hours chutes

Check-in and sensitise all items using the check-in PC in the back workroom and place it on the trolleys (follow instructions on the trolleys)

Make sure any comments needed in the LEA comms have been made.

Follow up with any tickets as required.

30 Minutes Before Closing:

Make first PA announcement

Turn off TVs

iLearning Room Equipment

Lock OPEN the partition door between iLearning Room 2a and 2b using Key 2

15 Minutes Before Closing:

Make second PA announcement

Turn off all staff computers at the LH and LE desks, as well as the back work area

Turn around sign on LH desk to display closed sign

If security has not shown, get LEA to call security whilst Casual After-Hours Librarians or Fulltime LE staff start to clear out the building

LEA tasks (Casual After-Hours Librarians or Fulltime LE staff to complete if there is no LEA)

Complete EFTPOS Reconciliation

Turn off Binder

Using the Lost Property key tag, lock the binding cupboard, using chain and lock in the basket inside the cupboard.

Put EFTPOS receipts, settlement, and transaction history in the banking bag, place in the safe, and spin the dial to lock the safe

Press send all on the LH and LE phones

Close and lock the internal library doors to iLearning rooms 2A and 2B

Use small keys on the Lost Property key tag to lock the mice and keyboards in the LH filing cabinet / LE locked draw

If any lost property is handed in during the last 15 minutes, leave a note for library staff on the next morning. Place the lost property in the back area.

5 Minutes Before Closing:

Make Final PA announcement

Ask security to double check all doors are locked and external InfoCommons door is opening on swipe

When Building is Cleared:

Lock Information Commons door

Close and lock glass doors to Client Services staff area

Lock key cabinet and put away key

Leave with your Security escort
