LE Cairns Procedures

Year 11 & 12 Community Membership

Year 11 & 12 Students:

$27.50 per annum 

20 General items for 3 weeks, automatic renewal

 

Acceptable Proof - Student

High School Student ID & Proof of current address (Can be obtained through parent ID, see below)

Will also need a parent or guardian to sign form and produce a relevant photo ID 

 

Acceptable Photo ID - Parent

Driver's Licence

Passport (if no address on passport include accompanying address documents)

18+ Card ( with accompanying address documents)

 

Address Documents

Electricity bill

Phone bill

Rates notice etc.

Note: Before you sign them up, check their ID matches what is written on the Membership Registration Form

 

Applicants must complete the Member Registration Form and provide relevant photo ID before completing the following steps.

Add the type of ID sighted to the Staff Use area at the bottom of the form. Example of how the form should look: Member Registration Form 2021 example Community.pdf

STEP 1: Before you sign them up, check their ID matches what is written on their form >>

Open Alma

Location should be [YOUR CAMPUS] - Circulation Desk

Go to Fulfillment → Checkin/checkout → Manage Patron Services

Search using the borrower’s Surname, First name to check that the patron does not already have an account. 

If an account is found follow the Renewing Year 11 & 12 student borrower accounts procedure

If an account is not found continue with the following steps to register them as a new borrower

STEP 2a: Entering their details

Select Register New User on the upper right hand side of the screen.

Complete the following fields:

Student's First Name

Student's Last Name

Preferred names are the first and last names of the parent/guardian

Scan card barcode into Primary Identifier field

Select Community from the User Group from drop down options

Select Campus as JCU Australia
 

Student Email type and Student email address

Address:

Address line 1 - street number and street name or PO Box number

Address line 2 - suburb

Postcode

Student Phone type and number

Add PIN (last four digits of library card/ phone number)

 

Advise patron that this is what is used initially and that the first time they log into their library account with their barcode and PIN, they will be prompted to reset their password.

Community members can reset at anytime using the Forgot Password option. (If you are unable add a PIN number to a patron account please let a LE staff member know)

In User Management Information, tick Force password change on next login

Click Update User

Confirmation Message - Confirm

STEP 2b: Adding additional details and paying the fine

Click on borrower card number on the right hand side to open up the account 

In the Contact Information tab, click + Add Phone number

Select phone type and type in Parent/guardian phone number

Select yes for preferred phone and click Add and close

Click +Add email address

Select email type and type in parent/guardian email address

In description put Parent/guardian and name in brackets

Select Yes for preferred address and click Save email

The system will automatically set the expiry date

Go to the fines and fees tab.

Follow the Waiving the amount procedure to remove the $55

Click on Add Fine or Fee

Fill in the following details:

Fee Type: Patron Registration Fee

Owner: James Cook University (automatically filled)

Fee Amount: $27.50

Click Add and Close

Click Save

Pay the fine in accordance to the Paying the fee on the account procedure.

STEP 3: Adding the Statistics for a Community Borrower: Year 11 & 12 School student

(see Alumni not in system - Community Member Registration, Alumni in system - Community Member Registration, Reciprocal ULANZ Borrowers - Community Member Registration and Community Member Registration for their respective statistics)

 

In the Statistics tab, click on + Add Statistic

 

In the new box that opens, choose the following:
 

Category Type = Community user type
 

Statistical Category = School Student (Paying)

 

STEP 4: Filling out the form

STAFF USE ONLY SECTION

This should be filled out once the patron has been signed up. All boxes should be filled in. 

 

STEP 5: Sending the Welcome Email 

Once the membership is finalised, a welcome email should be sent via LibAnswers. 

Note: In Townsville, Membership forms are to be placed in the tray for "Membership Registration Forms" to be checked by a Librarian. The Librarian will send the Welcome email once the ALMA account has been checked. 

Log in to LibAnswers and create a new ticket in the Library Experience queue using the clients name and email address.

Once the ticket has been created, send a Reply using the Welcome Email - Community Borrower macros, editing the details as needed. 

This macros will automatically add the tag LE: Membership

Submit Reply as Closed

Schools Engagement Membership

Schools Engagement Membership:

This complimentary membership is offered to Year 11 & 12 students and staff from High Schools that have an agreement negotiated by JCU Marketing offering complimentary membership. Application forms are provided to the school by JCU Marketing who then sends the completed forms to the Library. Library staff will register the borrowers and supply Library cards to Marketing for delivery back to the school.

 

Current Schools:

Smithfield State High School (Cairns)

Thuringowa State High School (Townsville)

 

Purpose: The process for creating user accounts for Year 11 & 12 students and staff from High Schools that have an agreement negotiated by JCU Marketing offering complimentary membership. 

Register a New Member

Applicants complete the Member Registration Form provided to the school by marketing. Students must have the form signed by the school principal and their parent/guardian

Open Alma

Location should be [YOUR CAMPUS] - Circulation Desk

Go to Fulfillment → checkin/checkout→ Manage Patron Services

Check for an existing record

Select Register New User on the upper right hand side of the screen.

 

      

 

Complete the following fields:

Student's First Name

Student's Last Name

Scan card barcode into Primary Identifier field

Select Associate Member from the User Group from drop down options

Select Campus as JCU Australia

Student Email type and Student email address

Address:

Address line 1 - street number and street name or PO Box number

Address line 2 - suburb

Postcode

City

Student Phone type and number

Select No for preferred address and click Add and Close

 

Set Expiry date:

Students December 1st of the year they finish Year 12

Staff - end of the current year (initial 2021 intake will be given until Dec 1, 2022)

Click Save

Adding the Statistics for a Student Engagement member

 

Click on the primary identifier 

Click on the Statistics tab,

Click on + Add Statistic

In the new box that opens, choose the following:
 

Category Type = Community user type
 

Statistical Category = School student (free) or High School staff (free)

Adding the notes to the account

In the Notes tab

Click Add Note

Note = Name of school

Type = other

Add and Close

Save (top right)

 

Filling out the Registration form

Fill out the details at the bottom of the paper form -

User Group = Associate AB

Statistical Category = SS (School student) or HSS (High School Staff)

Write name on back of card

Bundle cards and give to Team Leader/Supervisor who will organise for them to be given to the Schools Engagement team in Marketing
