LE Cairns Procedures

Alumni - Community Member Registration

  • No cost
  • Photo ID & proof of current Australian address required.
  • Loans - 20 items for 3 weeks, automatic renewal
  • Alumni and other Community Members do not have access to our online resources with the following exceptions:
    • Anyone, including members of the public, can access our online resources from the two Community Use computers on the ground floor of the library.
    • In addition, Alumni can register with the Alumni association to access the National Geographic and ProQuest databases.

Alumni - Already in ALMA

Registering Alumni who are already in ALMA

 

1. Search ALMA to see if the user is already in ALMA  - Fulfillment →  Manage Patron Services

This procedure is for users who are already in ALMA. If they are not in ALMA see the procedure for Alumni - Not in ALMA

2. Staff member sights photo ID

 

Fill in Membership Registration Form

3. Get a Member Registration Form and a blank Community Borrower library card from the bottom drawer of the filing cabinet outside Mark's office.

Alternatively you can print a new form by clicking on this link

Patron fills the following information in the Member Registration form

Name & Address

Email: add non-JCU email address if possible

Tick the Alumni box

Institution name: James Cook University

Student ID: jc/d number (look in ALMA if the patron can't remember)

Staff fills in the bottom section of the form, including: (you can do this later so patron isn't waiting too long)

Category: Associate member

Statistical Category: Community Member- Alumni

Card barcode: Enter barcode number from blank library card

 

In the client's account in ALMA...

Advise patron of any fines. Fines over $25 must be paid before continuing.

Click on the jc/d number on the side to open the account

Click on the Toggle Account Type button at the top to change account to Internal

If you cannot see the Toggle Account Type button ask Mark or Vaurian

 

Click General Information tab

Primary identifier: jc/d number

PIN number: Add the last four digits of their phone number as their PIN

Inform patron that the first time they log in to their library account they will be prompted to change this PIN

User group: Associate Member

Status: Active

Expiration date: One year from registration date

If there is a message saying patron has expired role, tell Mark or Vaurian

 

Click on Contact Information tab

Confirm contact details are correct with patron. Update as necessary

If necessary add an email address by clicking Add Email Address

 

Click Identifiers tab

Click + Add Identifier

Identifier Type: Additional ID 1

Value: Scan in Community Borrower card number

Note: type in "Borrower card barcode"

Click Add and Close

 

Click on Statistics tab

Click + Add Statistic

Category Type: Community User Type

Statistical Category: Community Borrower Alumni

Click Add and Close

 

Checking

Place the completed Member Registration form in the wire tray outside Mark's office

LE librarian (Mark, Cassie or Christia) to check membership in ALMA is correct.

Send the client a welcome email - see box below

Dear {{t.name}},

Welcome to James Cook University Library. This email is just to give you a brief overview of the details of your membership.

  • As JCU Alumni, you may borrow 20 standard items for three weeks at any one time. Further details about your account including book renewals and fines can be found via the Borrow and Renew section of our website.  
  • The library also has a concise list of Open Access databases you are to access at anytime through our A-Z Database: Open Access page.
  • You are also able to register as an Alumni to have access to specific ProQuest and National Geographic Archive databases as noted on the JCU Alumni page.


Library Opening Hours are available online (please note that only current JCU students and staff are able to access the Library outside of staffed hours)

YOUR LIBRARY ACCOUNT

You are able to log into your Library Account at any time via the JCU Library website.

 

  • Please note when you first log in it will prompt you to change your password.
  • Also, please note that Alumni memberships expire annually. Your account will expire on: [DD/MM/YYYY]
    • On this date, you are able to renew your account for no charge. Please bring ID with your current address when renewing.
