JCU Library Experience Procedures ALMA: Fulfilment

ALMA analytics

To access the ALMA Analytics Dashboards:

  1. Open ALMA
  2. Location should be [Your campus]- Circulation desk
  3. Go to Analytics:
    • If you haven't already pinned the report: 
      • Search Analytics Objects: Lost, Missing & Transit Dashboard

    • If you have already pinned the report:

      • Select: Lost, Missing & Transit Dashboard

Using the Dashboard

Please use this procedure first before using the Manage Sets procedure. 

If you are unable to access the Dashboard please contact your Team Leader as soon as possible as you may not have the correct permissions.

Using the ALMA Analytics Dashboard

Purpose

  • To be able to run and action lists through ALMA Analytics.

 ALMA Role

  • Circulation Desk Operator
  • Design Analytics - for Analytics Report
  • Fulfilment Operator

Responsibility 

  • Team Leader, Library Experience
  • Librarian (Library Experience)
  • Library Experience Staff - checking shelves
  1. Click on the Lost Tab
  2. Filter the Date in accordance to the information above it. 
    • Weekly: Please select the last 7 days.
    • Monthly: Please select the last 30/ 31 days

(Note: TSV & CNS Campus filter is selected by default) 

  1. Click Apply. 

  1. Export the list: Click the Gear on the top right hand corner, --> choose Export to Excel--> Choose Export current page
  2. Enable editing. 
  3. Delete the Blue Header and Footer
  4. Filter the table and sort the table by Dewey Classification column
  5. Save the table in R:\LIS_IRS\Library Experience\Lost, Missing & Transit under the relative folder as LOST_DATE.xlsx
  6. Print the document and search for the items. 
  7. Format the digital spreadsheet as per the instructions below and save it. 
How to Format this report
- If you DID NOT find item: LEAVE BLANK 
 - If you DID find the item: HIGHLIGHT ITEM 

 

  1. Click on the Missing Tab
  2. Filter the Date in accordance to the information above it.
  • Weekly: Please select the last 7 days.
  • Monthly: Please select the last 30/ 31 days

  1. Click Apply. 

(Note: TSV & CNS Campus filter is selected by default) 

  1. Select the following Collections from the list:
    1. Click on the drop down list, click search

  1. Select Curriculum, Curriculum Big Books, General Collection, High Use, & On Display
  2. Click on the arrow to apply them to the selected column

  1. Click Okay
  2. Click Apply. 

  1. Export the list: Click the Gear on the top right hand corner, --> choose Export to Excel--> Choose Export current page
  2. Enable editing. 
  3. Delete the Blue Header and Footer
  4. Filter the table and sort the table by Dewey Classification column
  5. Save the table in R:\LIS_IRS\Library Experience\Lost, Missing & Transit under the relative folder as MISSING_DATE.xlsx
  6. Print the document and search for the items. 
  7. Format the digital spreadsheet as per the instructions below and save it. 
How to Format this report

 - If you DID find the item: HIGHLIGHT ITEM 
  1. Click on the Transit Tab
  2. Filter the Date in accordance to the information above it.
  • Weekly: Please select the last 7 days.
  • Monthly: Please select the last 30/ 31 days

  1. Click Apply. 

  1. Export the list: Click the Gear on the top right hand corner, --> choose Export to Excel--> Choose Export current page
  2. Enable editing. 
  3. Delete the Blue Header and Footer
  4. Filter the table and sort the table by Dewey Classification column
  5. Save the table in R:\LIS_IRS\Library Experience\Lost, Missing & Transit under the relative folder as TRANSIT_DATE.xlsx
  6. Print the document and search for the items. 
  7. Format the digital spreadsheet as per the instructions below and save it. 

 

How to Format this report
- If you DID NOT find item: LEAVE BLANK 
 - If you DID find the item: HIGHLIGHT ITEM 

Things to note:

  • Transit for reshelving : When you return the item, check that it is not for a non- floating collection (NQ, Store, Theses etc...) before changing its information
  • Patron physical item request: Return it an process it as per the Processing Holds procedure
