Cancelling a hold request

Cancelling a hold request

Purpose: 

  • To be able to cancel a hold request

Alma Role required:

  • Circulation Desk Operator
  • Fulfillment Operator
  • Requests Operator

Responsibility:

  • All Frontline staff

Cancelling a request from the Monitor Request and Item Processes page

  • Sign into ALMA

  • Location should be [Your campus]- Circulation desk

  • Go to Fulfilment > Resource Requests > Monitor Requests & Item Processes

  • It will bring up this page:

  • Locate the item you want to cancel and click Cancel

  • Fill out the pop up that appears on the screen

  • Use the drop down box to select the reason for cancellation e.g. couldn’t locate the item, item is missing etc.

  • Fill in the Cancellation notes field if needed

  • Make sure that the Notify user box is checked and click confirm

  • On the right hand side of the screen, you will see a notification that the request was cancelled

 

Cancelling a request from a person’s account:

  • Sign into ALMA
  • Location should be [Your campus]- Circulation desk
  • Go to Fulfilment → Checkout/Checkin → Manage Patron Services
  • Scan the person’s card or search for their name in the Patron Identification search bar
  • Search for the item under the Requests tab and click on the button showing three dots
  • From the drop down menu, click on Cancel

  • Fill out the next screen
    • Use the drop down box to select the reason for Cancellation e.g. couldn’t locate the item, item is missing etc.
    • Fill in the Cancellation notes field if needed
    • Make sure that Notify user box is checked

  • Click confirm
  • On the right hand side of the screen you will see a notification that the request was cancelled

Cancelling a request from the Pick from Shelf list

  • Sign into ALMA
  • Location should be [Your campus]- Circulation desk
  • Go to Fulfilment > Resource Requests > Pick from Shelf

  • Click on Cancel Request
  • Fill out the pop up that appears on the screen

  • Use the drop down box to select the reason for cancellation e.g. couldn’t locate the item, item is missing etc.

  • Fill in the Cancellation notes field if needed

  • Make sure that the Notify user box is checked and click confirm

  • On the right hand side of the screen, you will see a notification that the request was cancelled

Extending the expiration of a hold request:

Extending the expiration of a hold request:

Purpose: 

  • To be able to extend the expiration of a hold request

Alma Role required:

  • Circulation Desk Operator
  • Fulfillment Operator
  • Request Operator

Responsibility:

  • Librarian (Library Experience)
  • Team Leader, Library Experience

We only do this in extenuating circumstances. Discuss with Client Services Team Leader before extending any holds.

From the Active Holds list:

  • Sign into ALMA
  • Location should be [Your campus]- Circulation desk
  • Go to Fulfilment →  Resource Requests → Active Holds list
  • It will bring up this page

  • Find the item that you want to extend and click Update Expiry

  • Select the new date and click SAVE

From a person’s account:

  • Sign into ALMA
  • Go to Fulfilment →  Checkout/Checkin →  Manage Patron Services
  • Search for the item under the Request tab and click the … at the end and select Update expiry

  • Select the new date and click SAVE

Checking holds status

Checking holds status

Purpose: 

  • To be able to check the status of a hold, either from a patron's account, or the Monitor Requests & items process page and to find out how many requests have been placed on a specific book. 

Alma Role required:

  • Circulation Desk Operator
  • Fulfillment Operator
  • Requests Operator

Responsibility:

  • All Frontline Staff
  • Sign into ALMA
  • Go to Fulfilment →  Resource Requests →  Monitor Requests and Item processes
  • It will bring up this page

  • The third column will tell you where the book is in the workflow, and which library it is in.
  • Sign into ALMA
  • Location should be [Your campus]- Circulation desk
  • Go to Fulfilment → Check out/ Check in →  Manage Patron Services
  • Scan the Patron’s library barcode or search for their account

  • Go to Requests (If the Patron has any requests it will be dog eared)

  • Under Task it will tell you at point the Request is;
    • Pickup From Shelf = Still needs to be collected
    • On Hold Shelf = Ready for collection

 

  • Log into ALMA
  • Go to Fulfillment → Resource Requests → Monitor Requests and item processes
  • Export the page to a excel document

  • Open the document
  • Filter on Request Type so only Patron Physical Item Requests appear

  • Sort “Z-A” on Queue so that it shows the larger number.
