Schools Engagement

Schools Engagement Membership 

Purpose: 

  • The process for creating user accounts for Year 11 & 12 students and staff from High Schools that have an agreement negotiated by JCU Marketing offering complimentary membership. 

Alma Roles:

  • Team Leader/Supervisor Client Services

Schools Engagement Membership:

This membership is offered to Year 11 & 12 students and staff from High Schools that have an agreement negotiated by JCU Marketing offering complimentary membership. Application forms are provided to the school by JCU Marketing who then sends the completed forms to the Library. Library staff will register the borrowers and supply Library cards to Marketing for delivery back to the school.


Current Schools:

Smithfield State High School (Cairns)

Thuringowa State High School (Townsville)

Register A New Member 

Applicants complete the Member Registration Form provided to the school by marketing. Students must have the form signed by the school principal and their parent/guardian

  • Open Alma
  • Location should be [YOUR CAMPUS] - Circulation Desk
  • Go to Fulfillment → checkin/checkout→ Manage Patron Services
  • Check for an existing record
  • Select Register New User on the upper right hand side of the screen.

       

  • Complete the following fields:
    • Student's First Name
    • Student's Last Name
    • Scan card barcode into Primary Identifier field
    • Select Associate Member from the User Group from drop down options
    • Select Campus as JCU Australia
    • Student Email type and Student email address
    • Address:
      • Address line 1 - street number and street name or PO Box number
      • Address line 2 - suburb
      • Postcode
      • City
    • Student Phone type and number
    • Add PIN (last four digits of student phone number - advise patron that this is what is used initially and that the first time they log into their library account with their barcode and PIN, they will be prompted to reset their password. Community members can reset at anytime using the Forgot Password option.
      • In User Management Information, tick Force password change on next login
    • Click Update User
    • Confirmation Message - Confirm
    • Click on ID number on right of screen and the click on Contact Information tab, click + Add Phone number
      • Select phone type and type in Parent/guardian phone number
      • Select No for preferred phone and click Add and close 
  • Click +Add email address
  • Select email type = Alternative  and type in parent/guardian email address
  • In description put Parent/guardian and name in brackets
  • Select No for preferred address and click Add and Close
  • Set Expiry date:
    • Students December 1st of the year they finish Year 12
    • Staff - end of the current year (initial 2021 intake will be given until Dec 1, 2022)
  • Click Save

Adding the Statistics for a Student Engagement member:

  • Click on the primary identifier 
  • Click on the Statistics tab,
  • Click on + Add Statistic

  • In the new box that opens, choose the following:
    • Category Type = Community user type
    • Statistical Category = School student (free) or High School staff (free)

 

Adding the notes to the account

  • In the Notes tab
  • Click Add Note
    • Note = Name of school
    • Type = other
  • Add and Close
  • Save (top right)

Filling out the Registration form

  • Fill out the details at the bottom of the paper form -
    • User Group = Associate AB
    • Statistical Category = SS (School student) or HSS (High School Staff)
  • Write name on back of card
  • Bundle cards and give to Team Leader/Supervisor who will organise for them to be given to the Schools Engagement team in Marketing
