Placing fines

Placing fines on an account

Purpose

  • To be able to place, fee/s on a patron account in ALMA

ALMA Roles

  • Fulfilment Operator
  • Circulation Operator

Responsibility

  • All Frontline Staff

Please ensure you are putting the accurate reason/ amount for fines, when they placed on the account. e.g. Lost replacement, 3D printing, Card Renewal etc..


Note: Overdue fines will automatically generate

  • Open ALMA
  • Location should be [YOUR CAMPUS]- Circulation desk
  • Go to Fulfillment  Checkin/ Checkout → Manage Patron services
  • Scan patron card
  • Click on the price under active balance under the patron’s name on the right hand side of the screen

  • On the right hand side of the screen click Add Fine or Fee

  • Choose the Fee Type from the drop down arrow
  • Fill out Fee Amount
  • If it is a resource with a barcode put it in the Item Barcode section
  • Place any additional comments in the comment section

  • Select Add and Close
  • The account will now look like this.

Checking for previous fines

Checking for previous fines

Purpose

  • To be able to find previous fee/s on a patron account in ALMA

ALMA Roles

  • Fulfilment Operator
  • Circulation Operator

Responsibility

  • All Frontline Staff
  • Open ALMA
  • Location should be {Your Campus}- Circulation desk
  • Go to Fulfillment → Checkin/ Checkout → Manage Patron services
  • Scan patron card
  • Click on the price under active balance under the patron’s name on the right hand side of the screen
  • Click the amount button (Do not press Pay)

  • Which will bring up the Payment Details screen

  • Click on Status: Active and change to closed

  • You should now see a list of previous charges and payments that are closed off

Paying the Fee on a account

Paying the fee on a account

Purpose

  • To be able to pay a fee/s on a patron account in ALMA

ALMA Roles

  • Fulfilment Operator
  • Circulation Operator

Responsibility

  • All Frontline Staff
  • Open ALMA
  • Location should be [Your Campus]- Circulation desk
  • Go to Fulfillment → Checkin/ Checkout → Manage Patron services
  • Scan patron card
  • Click on the price under active balance under the patron’s name on the right hand side of the screen
  • Click the Pay button

  • Which will bring up the Payment Details screen
  • You have the option to either pay All Fines (full amount) or Specific fines (Partial amount)

 

  • Select All Fines
  • Select Payment Method: Cash or Credit Card
  • Make sure that the full amount is reflected in Payment Amount
  • The Transaction ID will be the SMS receipt number (please see procedure for receipting in SMS)

  • Click Send
  • Click Confirm

  • On the right hand side should see this screen. Receipt will be automatically emailed to patron. If required you can print the receipt here by clicking Quick Print.

  • Select Specific Fines
  • Select what fines to pay. For example if you had multiple book fines to pay you can choose to only pay one of the fines here, or if someone just wanted to pay their reregistration before paying off their book fines.

  • Select payment Method: Cash or Credit Card
  • Make sure that the amount to pay is reflected in Payment Amount
  • The Transaction ID will be the SMS number  (please see procedure for receipting in SMS)

  • Click Send
  • Click Confirm

  • On the right hand side should see this screen. You can print the receipt here by clicking Quick Print.

Waiving fines

Waiving fines on an account

Purpose

  • To be able to waive a fee/s on a patron account in ALMA

ALMA Roles

  • Fulfilment Operator
  • Circulation Operator

Responsibility

  • All Frontline Staff

*Do not waive any fines, unless you have been told to do so by your supervisor*

  • Open ALMA
  • Location should be {Your Campus}- Circulation desk
  • Go to Fulfillment → Checkin/ Checkout → Manage Patron services
  • Scan patron card
  • Click on the price under active balance under the patron’s name on the right hand side of the screen
  • Click the amount button (Do not press Pay)

  • Which will bring up the Payment Details screen

  • Select which fee to waive by the check box on the side and click Waive Selected (You can choose to waive all fees here as well)
  • It will bring up this screen;

  • Fill in the Waiving response field and click waive
  • It will bring up a message to confirm

  • Click confirm and the fine will be waived.
