JCU Library Experience Procedures ALMA: Fulfilment

Analytics Reports (Analysis)

  • Log in to Alma.
  • Click Analytics > Access Analytics
  • Click Create in the blue banner at the top of the page.

  • Choose Analysis

  • Select your Main Subject Area (this will depend on what report you are trying to make e.g. Fulfilment, Fines & Fees or Users)

  •  It will then show you this screen:

  • Click on the Criteria tab, In the Subject Areas Box select your subject areas and then drag and drop your criteria from the list on the left into the report on the right.
    • Click on the arrows to expand the folders to find the appropriate Subject areas columns.
    • Alternatively use the magnifying glass to search for the Subject areas columns
      • Note: the yellow boxes are measurement terms (use for reports that use fines or fees)
      • Note: the blue boxes are description terms (the bulk of your report will use these)

  • Drag the elements around to put them in the order you want them to appear
  • Click on the Results tab to see how it will look

  • Click the save button in the top right hand corner

Adjusting the Report

  • In the criteria tab you can do number of things to adjust how the report will look
  • If you want the report to repeat on each line rather than combine into one large section 
    • Click on the gear, next to the criteria column and select Column properties

  • In the Results tab

Dashboards

  • Log in to Alma.
  • Click Analytics > Access Analytics
  • Click Catalogue in the blue banner at the top of the page.

  • Click Shared Folders > James Cook University > Dashboards > Working
  • Click the top Dashboard (this is the template created by Susan): [Name] Dashboard.
  • Click the Copy icon.

  • Click back on Dashboards and then click the Paste icon.

  • This should create a dashboard named copy of [Name] Dashboard in the Dashboards folder.

  • Click More > Rename to rename the COPY of the dashboard.

 

  • Click Edit to go into the Dashboard.

 

  • Once in the Dashboard you can rename your tabs, add your reports and any prompts you need. REMEMBER TO ALWAYS SAVE. Do not remove Column 1 or 6 this is the banners for the reports to make them look uniform.

Rename Tabs:

  • To rename your tabs, click on the text box properties in Column 1 Header

  • Rename the tab in the coding where it has the existing tab name e.g., TAB 1 (Note if you are using HTML/JavaScript/CSS Markup to change the look of your text e.g., making text white make sure have the box ticked)

  • Remember to SAVE. You can also Preview.

Add your report

  • Your report needs to already be created in the catalog, before you can add it to your dashboard.
  • Locate your report in Catalog, on the left-hand side of the screen in the Shared Folders --> James Cook University --> Reports folder, then clicking on the subject area the report falls under (e.g., Fulfilment or, Resources etc…)

  • Drag and drop the report into a column (Not Column 1 as this is the Header), Under where it says “Section,” In the Template there is a “REPLACE THIS TEXT WITH YOUR REPORT” you can drag it next to.

  • You can Rename Sections by clicking on the cog.

Removing sections or columns

  • Hover over right hand side of the box until you see an X

  • Click to remove the section or column. Note it will not prompt you to confirm this selection so make sure you mean to remove it.

Prompts

To have a prompt in your dashboard you will need to:

  • Update the prompt filter in the report in the catalogue to “Is prompted” In your report.
  • Create a prompt (or use an existing prompt)

Creating a new prompt:

  • Go back to your Dashboard.
  • Click Create in the blue banner at the top.
  • Click Dashboard Prompt

    •  
  • Find the Subject Area (e.g., Fines and Fees)
  • Click the + icon > Column Prompt

  • Select Column

(This is where the “Is prompted” filter you just updated on the column in your report must match for the prompt to work,) - e.g., Fines and Fees > Fines & Fees Transactions > Fine Fee Creation Date (Calendar)

  • OK
  • Select appropriate prompts e.g., if it is for for a date range.
    • Operator = is between
    • User Input = Calendar

  • This will then show the new prompt and a display of the prompt.
  • SAVE In Prompts folder in the appropriate folder e.g., Fulfilment – name it something specific to your report e.g., Bad Debt Write Off Date Prompt

Updating report to “Is prompted”:

  • Go into the Report you wish to add a prompt in the Catalogue.
    • Click Criteria
  • Go to the column item you wish to be prompted.
    • Click on the Cog > Filter.

  • Drop down Operator.
  • Select Is Prompted

  • SAVE the changes to your report.

Adding the prompt to your Dashboard

  • Click Catalogue in the blue banner at the top of the page.
  • Click Shared Folders > James Cook University > Dashboards.
  • Select your Dashboard > Edit.
  • Under Catalogue on the left of the screen click Shared Folders > James Cook University > Prompts
  • Find the prompt you just saved.

  • Drag and drop the prompt into a prompt section in your Dashboard.
    • The report will need to be in the same column as the prompt.
    • You may need to delete the existing Loan Year Prompt in the template – to do this click on the X.

  • SAVE
  • Click Preview to preview.
  • Click RUN to run report.

Changing the look of the prompt

  • Click the pencil icon above the prompt preview on the bottom of the page.

  • This will bring up the following Dialogue box from here you can change:
    • The Title of the prompt to make it clearer what the prompt is.
    • Add instructions on how to use the prompt or details above the prompt.
    • Prompt Display allows you to decide where you want the details to show.
    • You can also decide where you would like the Apply and Reset buttons to appear (on the side or underneath)

  • To further edit the prompt, you can also click on Format.
  • Which will give you the options to change the colour of the text if you want the text etcetera…

If you want two prompts next to each other instead of underneath

  • Go to the top right in your section and look for the symbol that looks like two sets of two bars next to each other.

  • The first will list the prompts above each other.
  • The second will list the prompts next to each other.
  • Which will look like this:
